QuickBooks Online Bank Feed Rules: How to Match and Categorize Faster
QuickBooks Online bank feed rules, which Intuit calls bank rules, automatically categorize downloaded bank transactions in the For review tab based on conditions you set. A rule categorizes (and with Auto-post, adds); it never matches. Matching is a separate step that links a bank line to a record already in QuickBooks. Use a rule for repeat vendors, match when the invoice, bill, or check already exists, and categorize when nothing exists yet.
What are bank feed rules in QuickBooks Online?
A bank rule tells QuickBooks what to do with a downloaded bank or card transaction that fits your conditions. It sets the transaction type, category, tags, and payee for you, so a repeat vendor stops needing a manual touch.
Rules are for repeat items. Matching, covered below, handles transactions that already have a record.
What are the limits of bank rules?
Know these limits before you build a rule set.
- Rule count. Up to 2,000 bank rules.
- Conditions. Up to 5 conditions per rule. Each condition can look at the Description, the Bank text, or the Amount, using Contains, Doesn't contain, or Is exactly.
- Priority. You can reorder rules. The highest priority rule applies first, so put your most specific rule above a broad rule.
- Badges. A RULE badge shows on a transaction a rule has handled. An AUTO badge shows on a transaction handled by an
Auto-postrule. You can filter the list by Rules, No rules, orAuto-postrules.
Description vs Bank text: the pitfall that breaks rules
Bank text is exactly what your bank sends. Description is a simplified version of it. A rule fails when it checks Description but should check Bank text, or the reverse. If a rule is not firing, open it and switch the condition. Turning on "Show full bank description" shows you the bank text, so you can see what the bank really sent.
How to create a bank rule in QuickBooks Online
This is Intuit's procedure.
- Open Rules. Go to All apps, then Accounting, then Rules.
- Start a new rule. Select New rule.
- Name the rule. Use a name you will recognize later in the rules list.
- Choose the direction and account. Pick Money in or Money out. Then pick a bank or credit card account, or all of them.
- Set the conditions. Choose Description, Bank text, or Amount, then Contains, Doesn't contain, or Is exactly. Stay at 5 conditions or fewer.
- Set what the rule does. Choose the Transaction type, Category, Tags, and Payee.
- Decide on
Auto-post. Leave it off unless the rule meets the test in the next section. - Save the rule. Done means the rule now appears in your Rules list.
- Check the priority order. Reorder the rules if needed, because the highest priority rule applies first.
Shortcut: from For review, select a transaction and choose Create a rule. It is a faster way to build a rule from a real transaction.
Should you use auto post on a bank rule?
Auto-post means "Automatically confirm transactions this rule applies to". Matching transactions on the Pending tab are then added automatically. Auto post rules run when you sign in, upload a file, or create or change an auto post rule.
Intuit suggests starting with simple, consistent transactions, such as rent.
My standing rule is that a human signs off before anything posts. Auto-post skips that step by design. So if you turn it on, keep it to items where the payee, amount pattern, and category never vary, and filter by Auto-post rules now and then to review what they have been doing.
What is the difference between matching and categorizing?
Matching links a bank line to a record already in QuickBooks: an invoice, bill, check, receipt, transfer, card payment, paycheck, or tax payment. Categorizing creates a new record. You can also exclude a line.
Matching a bill or invoice marks it paid, so confirm the payment really happened before you accept a match.
How does the QuickBooks match window work?
QuickBooks suggests matches with the same amount, dated from 90 days before to 20 days after the bank transaction. If the suggestion is wrong, use Find other match to search for the right record.
Why does QuickBooks show no match suggestion?
Intuit lists 4 causes:
- Bank fees or discounts change the total.
- Several payments were deposited together as 1 bank line.
- The record is outside the date window.
- The record is already reconciled. Exclude the bank line to avoid a duplicate.
How do you undo a match?
Go to the Posted tab, find the transaction, and select Undo. It goes back to Pending. Fix matches before the monthly reconciliation, not after.
What are my rules for matching bank feed transactions?
These are the standing rules I use on every bank feed. They sit on top of what Intuit documents.
- Read the posted history first. Before clearing anything held, I learn how each vendor was treated before. In my test, the history had already answered 95 of 99 held items. Most "unknown" items are not unknown.
- Pull the expense report from the practice management system. A card charge can be split across several clients or jobs. The report shows which charges are split before you clear them.
- Match split charges as a set. Intuit confirms 1 bank line can match more than 1 QuickBooks record. I select every record that belongs to the charge until the difference lands on 0.00.
- Open every row with more than 1 candidate. I pick by date and reference. I never accept the default best match.
- Hold anything more than 2 days apart. Bank date and book date may differ by at most 2 days. Further apart, I hold it, even when the amount and vendor match.
- Match trust account checks on check number plus amount. Checks can clear weeks after they are written, so the 2 day limit does not fit them. If you work with law firms, see QuickBooks Online for law firms for the setup and 3 way reconciliation for how trust ties out.
- Sign off before posting. A human signs off before anything posts. Whether a person or an AI tool proposes the match, the order holds: history first, then review, then post.
Rule vs match vs categorize: when to use each
| Situation | Use | Why |
|---|---|---|
| Same vendor, same category, every month | Bank rule | Applies your category and payee to For review items automatically |
| The invoice, bill, or check already exists in QuickBooks | Match | Links the bank line to the record and marks a bill or invoice paid |
| 1 bank line covers several records | Match to multiple records | Select the set that adds up to the bank amount |
| Nothing exists in QuickBooks for the bank line | Categorize | Creates a new record |
| Record is already reconciled, or the bank line is a duplicate | Exclude | Avoids a duplicate of the same transaction |
What are common QuickBooks bank feed issues and fixes?
- A rule is not working. Check Description vs Bank text first. Then check priority, because a higher rule may be applying before yours.
- A duplicate appears for a record that is already reconciled. QuickBooks will not suggest a reconciled record. Exclude the bank line.
- Several deposits arrive as 1 bank line. No suggestion appears. Match the bank line to the multiple records instead.
- Fees change the total. A fee or discount changes the amount, so the suggestion disappears. Add or remove matches, adjust the amounts, or resolve the difference, then save.
- The record you need is missing from the list. Widen the From and To dates.
- A match is wrong after posting. Undo it from the Posted tab before the reconciliation.
When the feed is clean, move to the reconciliation. If 1 statement covers a parent card and its sub cards, reconcile the parent account. The steps are in how to reconcile a credit card with sub accounts in QuickBooks Online.
Intuit's multi match help comes from older screens, so button labels may differ in your file today. The capability is the same: 1 bank line can match several records. Foreign currency is the exception. Only 1 transaction can be matched there.
FAQ
What are bank feed rules used for in QuickBooks Online?
Bank feed rules, called bank rules in QuickBooks, automatically categorize downloaded transactions in the For review tab. They set the transaction type, category, tags, and payee when a transaction meets your conditions. Use them for repeat vendors that always get the same treatment.
Can bank rules auto add transactions in QuickBooks Online?
Yes, with Auto-post turned on. Matching transactions on the Pending tab are added automatically. Auto post rules run when you sign in, upload a file, or create or change an auto post rule. Intuit suggests starting with simple, consistent transactions such as rent.
Why isn't my bank rule working?
The most common cause is a condition that checks Description when it should check Bank text, or the reverse. Bank text is exactly what the bank sends, and Description is a simplified version. Also check the rule's priority, since the highest priority rule applies first.
How do I match a deposit to several invoices?
Open the bank line and match it to more than 1 transaction. Select the records that add up to the bank amount, widen the dates if 1 is missing, and resolve any difference before you save. Intuit's example is 1 $300 deposit matched to 3 $100 invoice payments.
How many bank rules can QuickBooks Online hold?
Up to 2,000 bank rules, with up to 5 conditions per rule.
How do I undo a bank feed match in QuickBooks Online?
Go to the Posted tab, find the transaction, and select Undo. It returns to Pending. Do this before the monthly reconciliation.
