Hello

I'm Francis. I keep law firm books clean, trust accounts balanced, and month end closed on time.

I've worked in accounting since 2014. Today I support 3 to 10 US law firms remotely, and I've compressed their close to 3 to 5 days.

I use AI for the repetitive parts of the close and keep a human review on every number. I work US hours from Naga City, Philippines.

Since 2014in accounting
3 to 5day month end close
200 to 300transactions per firm, each month
100%reconciliation accuracy

Services

What I handle for law firms:

  • Trust (IOLTA) accounting and 3 way reconciliationmonthly
  • Client trust ledgers, disbursements, settlement payoutsper matter
  • Month end close and financial reporting3 to 5 days
  • Bank and credit card reconciliationstied to statement
  • Case cost tracking and billing supportFilevine, Clio
  • AP and bill payRamp
  • QuickBooks cleanup and catch upone time project

How I work

Every month, a law firm's trust account has to pass one check. Three separate records must show the same balance.

Trust 3 way checkMonth end
Bank statement balance✓ agrees
Trust account in the books✓ agrees
Sum of every client ledger✓ agrees

No client ledger below zero. Any gap gets explained and fixed in the same month.

TIED
  • Every reconciliation ties out to the bank statement before I call it done.
  • A second review pass on every close before it reaches you.
  • Async updates by email or shared docs, so you're never chasing me.

In short: a close is a set of proofs, not a date on the calendar.

Work samples

4 pieces of the monthly work, shown the way I build them. Figures are examples, not a real firm.

Trust

Trust 3 way reconciliation

Bank and books match. A client ledger can still be negative.

3 way checkExample
Bank statement, adjusted48,250.00
Trust account in the books48,250.00
Sum of client ledgers48,250.00
Client A30,000.00
Client B19,450.00
Client C(1,200.00)
Totals tie, but Client C is below zero. Another client's money paid C's costs. I explain and fix it in the same month.

What the firm gets: bank, books, and client ledgers tied every month, with no client ledger left below zero.

Close

Month end close in 3 to 5 days

The bank rec is done. The month still isn't closed.

Close proofs6 of 6
  • Every bank and card account ties to its statement, to the cent
  • Trust passes the 3 way check
  • No client ledger below zero
  • Every open item written down with an owner
  • Period locked so nothing posts into a closed month
  • Short summary to the firm: what changed, what's still open

What the firm gets: a close that is a set of proofs, not a date on the calendar, with client questions sent as soon as they come up.

Settlement

Settlement disbursement review

Every payment comes from a letter. A single misread field sends a check to the wrong payee.

Settlement statementExample
Gross settlement100,000.00
Attorney fee per agreement(33,333.33)
Case costs(2,150.00)
Provider A, reference from letter(8,400.00)
Provider B, stamped payee(5,600.00)
Net to client50,516.67
  • Payee, address, amount, and reference read from each letter
  • Blank looking field? Page rendered and checked
  • Stamped payee matches the vendor on file
  • Signed off before any check goes out

What the firm gets: every payment traced to its letter, a check memo that names the reference, and a client ledger that never goes below zero.

Bank feed rules

Most items held as unknown were already answered by the account's own history.

Before clearing a feed5 rules
95 of 99held items the posted history had already answered
  • Read the posted history first
  • Match split card charges as a set, difference 0.00
  • Open every multi match row, pick by date and reference
  • Bank and book dates no more than 2 days apart
  • Trust checks match on check number plus amount
AI does the first pass. I review every number before it posts.

What the firm gets: a feed cleared against its own history, with a person signing off before anything posts.
